1. Who we are

Chaseworth Ltd (“Chaseworth”, “we”, “us”) is a company registered in England and Wales, company number 17540989. Our registered office is 115 Holmfield Road, Leicester, LE2 1SF. We are registered with the Information Commissioner’s Office (ICO), registration number [ZXXXXXXX].

We are the controller of the personal information described in this policy. For questions about your information, email [email protected] or write to us at our registered office.

2. Whose information we hold

  • Clients: the people who create an account to use Chaseworth, and the businesses they represent.
  • Our clients’ customers: contacts at businesses that owe our clients money (for example accounts staff, directors or sole traders).
  • Website visitors and enquirers: people who use our website, calculator or contact us.
  • Our staff: covered by a separate staff privacy notice.

3. What we collect and where it comes from

From clients

  • Name, business name, email address, phone number and business address.
  • Company number or proof of business (such as a bank statement or utility bill) so we can verify you.
  • Account login details (your password is stored securely by our database provider; we never see it).
  • The invoices you send us and the information in them, plus notes and messages about each case.

About our clients’ customers

  • Business name and type, contact names, business email addresses, phone numbers and postal addresses.
  • Invoice details: invoice numbers, amounts, dates, line items and payment details.
  • Records of our contact: emails and letters sent, call notes, replies, payment promises, disputes and payments.
  • Where relevant, court claim details and judgments.

This information comes mainly from our client (who is owed the money). It may also come from the customer directly, from Companies House and other public registers, and from the invoice itself.

From website visitors

  • Anything you type into our forms, such as a postcode in the address finder or figures in our late payment calculator (the calculator works in your browser and does not send us your figures).
  • Basic technical information needed to deliver the website securely, such as your IP address, which our hosting provider processes.

4. How we use it and our legal reasons

What we doOur lawful basis
Create and run client accounts, verify businesses, provide our service, send statements and invoicesContract with our client, and our legitimate interest in only acting for genuine businesses
Contact our clients’ customers by email, phone and post to recover money owed, and keep records of that contactLegitimate interests: our client’s interest in being paid for work done and our interest in providing the service they instructed
Calculate and claim late payment interest and compensation under the Late Payment of Commercial Debts (Interest) Act 1998Legitimate interests
Help bring or defend court claims, where a client instructs us toLegitimate interests, and establishing or defending legal claims
Keep financial and business records, and meet tax and regulatory requirementsLegal obligation
Keep our systems secure, prevent fraud and misuse, and improve our serviceLegitimate interests

Where we rely on legitimate interests, we have balanced them against your rights. We contact customers in a firm but polite way, during reasonable business hours, and pause chasing when a debt is disputed. You can object at any time (see your rights).

We do not sell personal information, and we do not use it for advertising.

5. Automated checks and AI

  • Business verification: when a limited company signs up, we automatically check its company number and directors at Companies House. If the check can’t confirm the business, a member of our team reviews it by hand. You can always ask for a person to review a decision.
  • Reading invoices: when an invoice is uploaded, we use an AI service to read it and fill in details such as amounts, dates and contact details. The person submitting the invoice checks those details before sending, and our team reviews cases. The AI does not make decisions about anyone.
  • Reminder emails: scheduled reminder emails are sent automatically. Our team can stop them at any time, and they are not sent where a complaint or dispute has been raised.

6. Who we share it with

We share information only where needed to provide our service:

  • Our clients: we tell a client about progress on their case, including contact with their customer and any payments or disputes.
  • Service providers who process data for us under contract:
    • Supabase: database, file storage and secure logins
    • Cloudflare: website hosting and security
    • Resend: sending our emails
    • Stannp: printing and posting letters
    • Anthropic: AI reading of uploaded invoices
    • Twilio: phone calls, if we call or you call us
    • Our email provider, for our staff mailboxes
  • Public services we look things up with: Companies House (company checks), postcodes.io and Photon/OpenStreetMap (address finder: only the postcode or approximate location is sent).
  • Courts, solicitors and enforcement agents, only when a client instructs us to take legal action.
  • Professional advisers such as accountants and insurers, and authorities such as HMRC where the law requires it.
  • A buyer of our business, if we ever sell or reorganise it, under the same protections.

7. Transfers outside the UK

Some of our service providers are based in, or use systems in, other countries such as the European Economic Area or the United States. When information leaves the UK, we make sure it is protected by UK adequacy regulations (including the UK–US data bridge where the provider is certified) or by approved contract terms such as the UK International Data Transfer Agreement or Addendum.

8. How long we keep it

  • Client accounts: while your account is open, then for 6 years after it closes.
  • Cases (including customers’ details, invoices, letters, notes and payment records): 6 years after the case is closed. This matches the time limit for most legal claims in England and Wales and our accounting obligations.
  • Verification documents: deleted 12 months after we verify or reject the business, unless we need them for a dispute.
  • Call recordings (if we record calls): 12 months, unless needed for a complaint or dispute.
  • Deleted cases: a minimal record (reference, parties, amount and reason) is kept for 6 years so we can account for what happened.

9. Keeping it safe

Information is stored in secure, access-controlled systems. Clients can only see their own cases, and only approved staff can see client cases. Uploaded files are stored privately and shared only through short-lived secure links. Connections to our website are encrypted. No system is completely secure, but we work to protect your information and will tell you and the ICO about any serious breach where the law requires.

10. Your rights

Under UK data protection law you have the right to:

  • access the personal information we hold about you;
  • correct information that is wrong or incomplete;
  • ask us to delete information, where we no longer have a valid reason to keep it;
  • restrict or object to how we use it, including our use based on legitimate interests;
  • data portability, for information you gave us under a contract;
  • ask for a person to review any automated decision.

Some rights have limits. For example, we may keep information we need to recover a valid debt or for a legal claim. To use any right, email [email protected]. We will reply within one month.

If you are unhappy with how we handle your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

11. Cookies and similar technology

We do not use advertising or tracking cookies, and we do not run analytics that track you across sites.

  • Staying logged in: when you log in, your browser stores a secure session token so you stay signed in. This is strictly necessary and is removed when you log out.
  • Fonts: our pages load fonts from Google Fonts, which means your browser connects to Google’s servers and shares your IP address with them.
  • Security: our hosting provider, Cloudflare, may set strictly necessary security cookies to protect the website from attacks.

12. Changes and contact

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
